Account Information
When you create an account or request a demo, we collect your name, email address, organization name, and role. This information is necessary to provide our services.
Loan and Borrower Data
ClearClose processes loan application data, borrower information, and mortgage documents provided by your organization. This may include Nonpublic Personal Information (NPI) as defined by the Gramm-Leach-Bliley Act (GLBA). We process this data solely to provide loan origination services and do not use it for any other purpose.
Usage Data
We automatically collect technical information including IP address, browser type, pages visited, and timestamps. This data helps us maintain and improve the platform.
2. How We Use Your Information
- Provide, maintain, and improve ClearClose's loan origination services
- Classify and extract data from mortgage documents using AI
- Perform compliance checks (TRID, QM/ATR, HMDA) on loan files
- Generate audit trails, readiness scores, and compliance reports
- Communicate with you about your account and our services
- Ensure platform security and prevent unauthorized access
3. GLBA Compliance
Sheer Data operates as a service provider under the Gramm-Leach-Bliley Act when processing NPI on behalf of financial institutions. We implement administrative, physical, and technical safeguards to protect NPI in accordance with the GLBA Safeguards Rule. We will enter into appropriate service provider agreements with each customer prior to processing any NPI.
4. AI Processing
ClearClose uses Anthropic's Claude AI to analyze mortgage documents. When we process your data through Claude:
- Data is transmitted securely via encrypted API connections
- Anthropic does not use your data to train AI models
- Data is processed in real-time and not stored by Anthropic beyond the immediate request
- All AI processing complies with our service provider obligations
5. Data Security
We use industry-standard security measures including:
- Encryption in transit (TLS 1.3) and at rest (AES-256)
- Role-based access controls with tenant isolation
- JWT-based authentication with token expiration
- Rate limiting and request validation
- Regular security reviews and monitoring
6. Data Retention
We retain account information for the duration of your subscription and a reasonable period thereafter. Loan data and documents are retained according to the terms of your service agreement and applicable regulatory requirements.
7. Third-Party Services
We use the following third-party services:
- Anthropic (Claude) — AI-powered document analysis and compliance checking
- Cloudflare — CDN, DDoS protection, and DNS
- Google Cloud Platform — Secret management, storage, and infrastructure
8. Your Rights
You have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information (subject to legal and regulatory retention requirements)
- Withdraw consent for optional data processing
